NO PASS / NO PLAY POLICY

 In order to clear up misunderstandings about the no pass, no play policy and how it’s implemented in the Westwood Boy’s Lacrosse organization, we gathered information from multiple sources within the RRISD, including verifying information with Westwood. Here are the rules:

·        All extracurricular activities associated with Westwood (UIL or not) must adhere to the district’s no pass, no play policy. In order to use the Westwood name and RRISD facilities, we must adhere to the policy.
·        Extracurricular activities include public performances, competitive games, contests, demonstrations, displays, and all activities which are open to the public (whether or not a score is kept and whether or not admission is charged). Practices and scrimmages and internal Club events (which are generally not open to the public) are NOT considered extracurricular activities; all other activities, including tournaments, are considered extracurricular activities. ·        Players become academically ineligible to participate in extracurricular activities if they become academically ineligible. Westwood issues official grade reports every six weeks; these official grade reports are what cause a player to become academically ineligible. The semester average has no bearing on eligibility; a player must be eligible in every class in each 6-week reporting period. The 2009-2010 dates for grade reports are:

·        Any player with a grade below 70 on the grade report is academically ineligible to participate in extracurricular activities for three weeks. Even if the player has brought up their grades to passing since the grade report was issued, the grade on the grade report is what determines academic eligibility.
·        At the end of three weeks (referred to as the evaluation period), an interim progress report (IPR) is issued. The 2009-2010 dates for IPR's are shown above. If the IPR shows that all grades for the progress report period (only the three weeks are considered—not cumulative grades) are 70 or above, the player will regain academic eligibility. A progress report cannot cause a player to lose academic eligibility—only to regain academic eligibility.
·        An Incomplete on a grade report is the same as a failing grade until the Incomplete is cleared. An Incomplete can be changed to a passing (or failing) grade at any time. To clear up an Incomplete, you should contact the teacher, the only person who can change a grade. When you contact the teacher, ask him or her to copy Rob Nielson, our Westwood sponsor, on the grade change the teacher files with the Registrar because that will speed up the clearance process. When an Incomplete is changed to a passing grade, the player immediately regains academic eligibility. Incompletes do NOT need to wait three weeks to be cleared up.
·        To determine academic eligibility, the Parliamentarian submits the player roster to the Westwood sponsor at the end of each six-week grading period. The school sponsor checks the player roster with the Registrar and sends the Parliamentarian a list of academically ineligible players. The Parliamentarian is not provided a reason for academic ineligibility in order to preserve student privacy. The Parliamentarian sends the list of academically ineligible players to the Head Coach and the President, and then sends each parent an email.
·        After a parent receives notice of academic ineligibility, it is the parent's responsibility to clear any academic eligibility issue such as an error or an Incomplete. Neither coaches nor Club officers are allowed to contact the school on your son's behalf. In addition, coaches are not allowed to clear a player's academic ineligibility. Only the Club Parliamentarian or Club President can clear a player.
·        If you feel there’s been an error, you are the only person who can take action; as his parent or guardian, you are the only person who is allowed (because of privacy laws) to see your son's grades or even to contact the school. The only official way to change a grade is through a teacher to the Registrar at Westwood; in turn, the Registrar will let the Club Parliamentarian know of the change through our school sponsor.
·        If a player receives a grade lower than 70 but higher than 60 in an AP course (includes AP, Pre-AP, Pre-AP Tag, and AP TAG), an IB course (includes IB, Pre-IB, Pre-IB TAG, and IB TAG), or a high school/college concurrent enrollment course, the player may petition the school principal for a one-time eligibility waiver. Courses labeled “advanced,” “enhanced,” “TAG,” or “honors" are not considered for an exception unless they include AP or IB in the course title. This waiver can only be granted by Principal Rebecca Donald and will only be granted once per semester. The waiver is only valid until the next six-week grade report is issued; as a result, a waiver granted immediately after a six-week grade report is issued lasts longer than a waiver granted after an IPR is issued. If granted, the original waiver letter with Principal Donald’s signature must be submitted to the Club Parliamentarian prior to participating in any extracurricular activities. A copy of a Home Access Center (HAC) report or a letter or an email from a teacher or a counselor cannot be accepted.
·        A player who is academically ineligible for any grading period during the spring season is also ineligible to receive a Varsity letter or any post-season awards and cannot be recommended by coaches for District or State honors.
